Catch Air is a larger-than-life indoor soft-play adventure park for children themed around a family. Each Catch Air Park is filled with colorful murals, three dimensional thematic elements and giant play structures built around a maze of dizzyingly high and wildly twisting slides. There are dozens of activities inside the center that encourage physical, mental and social development through play. There are no electronic arcade games or ticket redemption windows to be found here. Catch Air is ALL about running, jumping, climbing, sliding, interacting with digital games. Along the way kids learn how to play fairly, share and make new friends while challenging themselves physically and getting the exercise they need to be healthy.

Job Type: Full-time

Job Summary:

              The Senior Administrative Assistant provides administrative support services for the management and stores. While the nature of the job responsibilities will remain primarily administrative, they may differ based on the requirements of each project including billing, staff time management, biweekly payroll process, and recruiting. This position requires a high level of confidentiality and discretion in communications, strong professional and ethical standards, the ability to manage multiple relationships both internally across the team and externally with vendors, excellent time and project management skills, and an ability to understand and adapt to our business needs. This position will require flexibility around overtime.

 

Key Responsibilities:

Administrative

  • Provide administrative support for internal management team. Coordinates meetings and conferences and may attend team and client meetings and prepare minutes as directed. Handle sensitive/confidential information requiring a high level of discretion. Develop a good working relationship with all levels of staff.
  • Cultivate relationships and maintain contact with external clients on behalf of internal clients.
  • Prepare requisitions for specific purchases with appropriate authorization and arrange for payment.
  • Support online onboarding and termination processes. Make time correction requests in a timely manner and prepare biweekly time report for multi locations’ payroll. 
  • Monitor credit card expenses of corporate staff and stores.  Generate invoices for both internal clients and vendors and follow up for collections. 

Communication

  • Monitor internal communication application and dispatch a tech team for repair and maintenance needs. Post store specific and companywide messages using internal communication app.  Handle all incoming corporate calls proficiently and follow through with issues raised with appropriate parties.
  • Communicate with vendors and landlords for various needs.  Arrange essential mail both paper and electronic to help expedite client actions and avoid missing deadlines.

  Organizing and Planning

  • Arrange travel under in accordance with firm policy.
  • Prepare official agenda for meetings. Compile materials for training and meetings with minimal direction.

 Filling and Document Management

  • Develop and maintain effective filing system for the management of business needs and requirements, including classified and confidential files.
  • Maintain contact details for client (business contacts, etc.).Maintain and update electronic files in the company internal cloud.

 

Qualifications

• College Degree is required. 
• 2-3 years’ work experience as an administrative assistant or Human resource supporting various level including executives

• Background in professional services firm supporting accounting function a plus 
• Professional demeanor 
• Organized, detail-oriented, competent follow through skills 
• Excellent computer skills - MS Word, Excel, PowerPoint, Outlook 
• Excellent communication skills – spelling, grammar and proofreading 
• Exceptional interpersonal skills – positive/friendly demeanor, attentive listener 
• Superior organization skills - ability to come up with processes and follow up 
• Ability to exercise good judgment/decision making when necessary. Ability to anticipate problems and act accordingly 
• Ability to prioritize and multi-task - great time management 
• Ability to take initiative - assertive and confident.
